Validation Coordinator Support

Distek, Inc., a rapidly growing leader in the scientific instrumentation field, located in North Brunswick, New Jersey is currently seeking a Validation Coordinator Support.


A Validation Coordinator Support individual may perform all or some aspects of the following functions.

  • Under the direction of the Validation Coordinator, schedule installations, validation, and repair services
    • Coordinate with customers and production to determine schedule for installation of new instruments; and work with customers to schedule repairs and contract services
      • Identify needed resources, schedule, and track personnel
      • Ensure the Validation Service Schedule is current and accurate
      • With Validation Coordinator, resolve scheduling conflicts and when necessary, involve the department Director and/or other directors/managers
      • Confirm all scheduled services with customers and field personnel
    • Ensure that service orders and related paperwork resulting from validation service calls are properly processed and closed
    • Alert Validation Coordinator to recurring service problems
    • Assist field personnel with non-technical issues and problems
    • Function as initial interface with customers on service calls
      • Screen telephone calls
      • Direct calls to appropriate personnel
  • Documentation, Shipping, and Inventory Control
    • Generate, modify, assemble, and ship Qualification and Validation Binders for all validation and related services as per the Validation Coordinator
    • Generate, modify, assemble, and ship Qualification and Validation Binders for all International orders and pick tickets
    • Ship documents and supplies to customers in advance of Distek personnel arrival at site
    • Enter all UPS tracking information on shipments to ensure easy follow-up
    • Distribute to all necessary field and office personnel updated documents
    • Monitor and maintain level of document supply inventory, USP standards/tablets, qualification stickers, and instrument stickers
    • Work with Purchasing to reorder inventory as needed
  • Assist the Validation Coordinator to maintain the Service CRM database
    • Ensure that all information is correct and current
    • Generate reports from various databases as needed
    • Update customer contact information
    • Update contract information as necessary
    • Update personnel information as necessary
    • Open and populate contract services for each month
  • Maintain Company vehicle database, including tracking of maintenance, inspection, and mileage
  • Assist in maintaining Validation and Field Service personnel information
    • Prepare training documents for new employees
    • Maintain training certificate files for Validation and Field Service personnel
    • Maintain tool certificates for all Validation and Field Service personnel
  • ISO
    • Follow ISO documentation process
    • Perform responsibilities in adherence to ISO standards
  • Prepare reports for management
  • Participate in projects as assigned

The qualified candidate should have:

  • Minimum 3 years clerical / administrative assistant experience
  • Minimum High School diploma or equivalent experience
  • Proficient in Microsoft Operating Systems, Outlook, Word, Excel, and database programs
  • Able to learn computer applications easily
  • Excellent verbal & written communication skills
  • Strong diplomatic skills when dealing with customers
  • Extremely organized and able to work well under pressure, with multiple interruptions
  • Self-starter and able to successfully handle multiple tasks simultaneously and be flexible in changing priorities
  • Efficient time management skills and ability to meet deadlines
  • Pleasant and courteous phone manners
  • Proven ability to work well in a team environment as well as independently
  • Previous customer service experience preferred
